Project Closeout Documentation
I would like to see a tab for project closeout paperwork i.e manuals, warranties etc. Ideally you could send out a request much like an RFI or punch list item that would have a due date for said materials to be submitted. These items are usually hard to gather and a daily email reminder may help expedite the process
Thank you for your suggestions and comments. We do want to take the opportunity to identify that we have several Partner Integrations that will likely meet the need of the requests here.
You can see all the specific options for closeout here — https://marketplace.procore.com/categories/document_management
A notable mention specifically to address the comments in this thread:
Through integration with Buildr Closeout, Procore customers gain tan all-in-one platform for closeout. The portal provides a place for subcontractors to upload documents with automated reminders that appear as if they came directly from you. The dashboard allows you to track which documents you have, documents that are still due, which subs still owe you items, and how close you are to overall closeout completion. Improve your profit margins by saving time on document collection and follow-up and deliver a turnover package with mobile, web, and local file access.

I think I have posted this before, I use the submittal too. I make a "Close Out/O&M" Submittal package. I can request approve then download to make my closeout manual.
It is a waste of money to use a partner integration when we pay for Procore which can do the same thing.
If Procore would just copy the Submittal tool and rename it, this issue could be closed.

This is not an acceptable solution to the question. It costs 25% of the total cost of Procore to use this partner integration and Buildr is just using your API to export the information we've already added to Procore in order to generate its closeout package.
It'll be interesting to see how many other former Procore employees jump ship and build start-ups to provide a critical function that Procore should have developed. My money is on spec markups. Company is probably already named Specr.

I believe Procore needs to step up and deliver a high quality closeout tool to live up to their claims of being an all-in-one Project Management solution. I understand when niche items are integrated through outside partnerships, but Project Closeout is so tightly related to so many of the tools Procore already has built, that it far more appropriate to be a standard tool in the Project Management Module. Relying on outside partners (i.e. we customer's need to purchase more licenses since Procore would rather not develop the tool) is not the right approach for this item IMHO.

This would be a great tool to add to Procore's system.

I think Procore is responsible to have a basic / core function for project closeout, as it's a primary function of Construction. Offerings from a 3rd party is great, as long as they're adding functionality for what a niche market could benefit from. But relying on 3rd parties just makes the users experience more complicated, it's an additional cost, and it seems unprofessional.
Is Procore trying to lead this field, or offer subpar solutions? Why should we pay for a primary service, then a secondary service to finish the project?
Please offer this as a core feature.

Thank you for mentioning this Partner Integration, but to be honest, it's a non-starter due to price. The additional cost is more than 25% of what we pay for all of Procore - just for Closeout.
Please put/keep this on the development roadmap. The tools and data already exist in Procore to do this, they just need to be tied together... Buildr is basically exporting items from Procore and using a separate dashboard to manage the process, while generating a nicely linked PDF at the end. Seems like Procore could develop something similar very easily, but doesn't want to encroach on Buildr, which was started by former Procore employees.

@Zenette Please consider that in countries other than the USA the exchange rate can make the partner integrations cost prohibitive.
A Close out Document Tool.
This is definately needed. Big shortfall of Procore. 99% of construction jobs need to compile an O and M manual. How is this not part of the program to automate this process.

You can just create an item in submittals. Where you choose "submittal type" you just make it a "Owners Manual," "Warranty," or "Close Out Document"

It would be nice for Procore to have a tool that compiles approved shop drawings, IOMs, etc into an O&M with a ToC. Exporting, saving and dragging files into folders is a big hassle - procore could take away some of this hassle by integrating a tool which automates O&M manuals with a push of a button.

I think it would save companies serious work hours on creating O&M's - Operations & Maintenance Manuals, if Procore created an option to generate O&M PDF's via a tool using submittle data. a Procore O&M that would be able to be simply printed for binder creation or electronically sent in PDF form. Hours saved equals money saved.

At the end of a job, I need to download submittal covers, review sheets, and submittal attachments individually from Procore, and then create a pdf binder to submit to our customer as an O&M manual. Right now, I have to select the submittal, email myself the link, download it, and then save into my local folder. I just had a project with over 50 submittals. It would be very helpful to download batch submittals instead of one at a time. Even automating and O&M with a cover sheet, contact directory, vendor list, and warranty letter would help us complete the O&M through Procore!

This would be great. I currently use the submittals tab and create a closeout submittal package for all O&Ms, product warranties, sub warranties etc. and track them through submittals. A separate tab would be nice. Same with a Project Warranty tab. So we could post and track warranty issues then notify subs as the warranty date is approaching.

I agree completely. This final piece of the project is one of the most difficult. Procore would bring huge value to their software if this was implemented.

ABSOLUTELY NEED A CLOSE-OUT TOOL - using Procore is great, but reprinting and compiling ALL the data back into a manual takes DAYS if not WEEKS, where it COULD be done here with a few clicks if you already have everything here!!!
Glad to see others asking for the same thing....

Agreed that an integrated close/out and/or project handover tab is needed

Having a closeout tab would be extremely helpful for tracking & managing the closeout process; especially when closing out multiple projects at any given moment. I believe having such a tool in Procore could streamline the entire closeout process.

So for RFI responses we distribute them through the email tool and include formal transmittal language to request any pricing changes associated with the response. We do the same thing for submittals and distribute the responses to our trade partners but instead of pricing requests, we ask them to release equipment or provide revised submittals within a certain number of days. That way it saves me from emailing them outside of procore, and everything is kept in one program. Long story short, at the end of a project, we send the owner a closeout document package that contains the responses for all submittals so they can access them with O&M documents and warranties, etc. I don't want the distribution portion to show up in the submittal response because it isnt really necessary for them to see the contractual jargin we send to our trade partners. Gives it a more cleaner look.

Warranty tab to track when warranty dates begin and end. And send alerts to subcontractors.
Also a close out tab would be nice to track close out documents.
